1. Introduction
Saleserator is operated by Rutledge Consulting LLC ("we," "us," or "our"), which is responsible for your data under this policy. This Privacy Policy explains what information we collect, how we use it, who we share it with, and your rights regarding your data.
This policy applies to everyone who uses Saleserator, including Admins, managers and salespeople on team accounts, and visitors to our website and public practice demo.
2. Information We Collect
We collect the following categories of information:
2a. Account Information
When you create an account (or when your Admin creates one for you), we collect:
- Name
- Email address
- Password (hashed, never stored in plain text)
- Role (salesperson, manager, admin)
- Company/organization name
2b. Activity and Performance Data
As you use the Service, we collect:
- Sales activity logs you submit (calls, meetings, deals, etc.)
- Training progress and module completion records
- Sales Points (SP) earned and transaction history
- Leaderboard rank and achievement data
- Pulse survey responses (if your Admin uses this feature)
2c. Voice Roleplay Data (The Pit)
When you use the AI roleplay feature:
Your voice is sent in real time to Deepgram, a speech recognition service, to turn it into text. The session transcript is stored in your account and cleared 90 days after the session ends. The AI scorecard and coaching notes are kept with your session record. You can always see your own transcripts and scorecards. On a team account, your managers and Admins can see transcripts and scorecards only from sessions marked Manager Review. Sessions marked Private Practice are not shared with managers or Admins and are not included in team exports.
We do not store recordings of your voice from The Pit. Your voice is processed as it streams and turned into text; only the transcript and the AI analysis are kept, for the periods in Data Retention below.
Before starting The Pit, you must affirmatively accept the current voice-processing and AI-analysis notice. Saleserator records the notice version and acceptance time.
2d. Real Call Recordings (Call Audit)
Call Audit only works on calls someone on your team chooses to add, by uploading a recording or pasting a transcript; Saleserator does not automatically capture or import calls. We keep each uploaded recording for 30 days from upload, then delete it automatically. The text made from a recording is used to score the call and is not stored. A transcript you paste in is kept with the score. The scores and coaching notes created from a call are kept with your account. The salesperson the call belongs to can see its results, and so can the leaders and Admins over that salesperson. Before adding a call, make sure everyone on it was told it was being recorded, and agreed where the law requires it.
2e. Usage and Technical Data
We automatically collect:
- IP address and general location (country/region)
- Browser type and device information
- Pages visited and features used within the Service
- Error logs and crash reports (processed through Sentry)
- Session timestamps and duration
2f. Payment Information
Payment is processed by Stripe. We do not store credit card numbers or full payment details on our servers. Stripe handles payment processing and provides us with limited billing information (last four digits, card type, billing name) for account management purposes.
2g. Sal, the AI Assistant
Sal is the assistant inside Saleserator. Sal is an AI assistant, not a person, and can make mistakes. When you talk with Sal, in the app or by text, you are interacting with an AI system, not a human.
To answer, Sal reads your own team's data in Saleserator: the activity your team logs or brings in from a connected CRM or calendar, your activities, Sales Points and daily targets, morning and evening check-ins, training progress, and your conversation with Sal. A leader's Sal also reads the team's playbook and the day's coaching suggestions. Sal reads only your own company's data, and a manager's Sal reads only the people that manager leads.
What Sal reads to answer, and what you say to Sal, is sent to Anthropic (Claude) to write the answer. Your conversation with Sal is kept with your account.
2h. Text Messages (SMS)
If you confirm a mobile number in your account, we keep the last four digits and a protected form of the number, and our texting provider, GoHighLevel, keeps the number to send the texts.
Texts come from Saleserator: a sign-in or confirmation code when you ask for one, an invite when a leader invites you by text, and a reply to each text you send Sal. If you check the box on our founding team application, Saleserator sends up to 4 texts a month about your setup. Msg & data rates may apply. Reply STOP to opt out, HELP for help.
SMS / text messaging: If you opt in to texts, we use your mobile number to send the messages you agreed to. Message frequency varies; msg & data rates may apply; reply STOP to opt out or HELP for help.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with or sold to any third party. All other sharing categories in this policy exclude text messaging originator opt-in data and consent. We may share information with service providers that deliver our messages on our behalf (such as our messaging platform), only to provide the service.
The terms for these texts are on our SMS Terms page.
3. How We Use Your Information
We use the information we collect to:
- Deliver the Service: operate your account, display your activity data, generate leaderboard rankings, power the AI roleplay experience, and send transactional emails
- Generate AI coaching feedback: session transcripts are sent to Anthropic's Claude API to produce scorecards and coaching notes
- Process payments: manage billing, handle failed payments, and maintain subscription records
- Improve the Service: analyze usage patterns to identify bugs, improve features, and prioritize development (using aggregated, non-identifiable data)
- Send service communications: account updates, billing notifications, and security alerts
- Ensure security: detect fraud, unauthorized access, and abuse
4. What We Do NOT Do
We do not:
- Sell your personal data to third parties
- Use your data for advertising purposes
- Use your voice data or personal activity data to train AI models (data sent to Anthropic's API is governed by their API data usage policies, which prohibit training on API inputs by default)
- Share individual customer data with other Saleserator customers
5. How We Share Your Information
Text messaging originator opt-in data and consent are excluded from the sharing categories in this policy, including the provider list below. See Text Messages (SMS) above.
Within Your Company Account (Team Plans). On Team plans, your performance data, activity logs, training progress, and roleplay scorecard summaries from Manager Review sessions are visible to your team's Admins and managers. Private Practice sessions are not. This is by design: Saleserator is a team management tool.
National Leaderboard. If you appear on the National Leaderboard, your display name (or initials), rank tier, and performance metric are visible to other logged-in Saleserator users.
5a. Third-Party Service Providers

6. Data Retention

7. Data Security
We implement appropriate technical and organizational measures to protect your data, including:
- Encryption in transit (TLS) for all data transfers
- Passwords stored as bcrypt hashes, never in plain text
- Multi-tenant database isolation: your company's data is logically isolated from all other tenants
- Access controls limiting which roles can access which data
- Sentry error monitoring to detect and respond to security incidents
8. Your Rights and Choices
Access and Correction. You may view and update your account information at any time through your account settings. For data you cannot update yourself, contact support@saleserator.com.
Data Export. You may request a copy of your personal data from Account settings or by contacting support@saleserator.com.
Deletion. You may request deletion of your account and associated personal data from Account settings or by contacting support@saleserator.com. 9. California Residents (CCPA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act:
- Right to Know: request details about the categories and specific pieces of personal information we have collected
- Right to Delete: request deletion of personal information we hold (subject to certain exceptions)
